Event Planner – OAR Foundation (Part Time Volunteer)
Job Description:
The Event Planner at the OAR Foundation will be responsible for organizing and executing events that support the foundation’s mission, including fundraising activities, volunteer events, awareness campaigns, and community outreach initiatives. This role requires creative and logistical expertise to manage all aspects of event planning, from conception to execution, ensuring that each event aligns with OAR’s goals and provides a memorable experience for attendees. The Event Planner will work closely with the team to coordinate resources, vendors, and volunteers, ensuring every event is successful and impactful.
Key Responsibilities:

Plan, organize, and execute a variety of events such as fundraising galas, community outreach, volunteer appreciation, and awareness campaigns.

Develop detailed event plans, including timelines, budgets, venue selection, catering, logistics, and staffing requirements.

Coordinate with internal teams, external vendors, and volunteers to ensure that all event logistics are handled efficiently and on schedule.

Manage event budgets, ensuring events are delivered within financial constraints while achieving the desired outcomes.

Promote events through various channels, including social media, email newsletters, and community outreach, to maximize attendance and engagement.

Oversee event registration, guest lists, and communication, ensuring smooth participation and clear instructions for attendees.

Manage day-of-event logistics, ensuring everything runs smoothly from set-up to breakdown, and addressing any issues that arise.

Collaborate with sponsors, donors, and community partners to ensure events align with OAR’s mission and build stronger relationships.

Track and measure the success of each event, analyzing feedback and results to improve future events.

Maintain an event calendar, coordinating multiple events and ensuring proper timing and resource allocation.

Ensure that all events align with OAR’s values, including support for veterans, moral injury advocacy, and humanitarian initiatives.
Requirements

Proven experience in event planning, with at least 2-3 years of experience in organizing successful events.

Strong project management skills, with the ability to coordinate multiple tasks and meet deadlines.

Excellent communication and interpersonal skills, with the ability to work with various stakeholders, including vendors, donors, and volunteers.

Strong attention to detail and the ability to anticipate and solve problems in real time.

Ability to manage budgets and resources efficiently, with an understanding of financial oversight for events.

Experience with event promotion through digital marketing, including social media and email campaigns.

Ability to work under pressure and handle multiple projects in a fast-paced environment.

A passion for veteran advocacy, moral injury recovery, and supporting humanitarian causes.

Strong organizational skills, with the ability to manage all aspects of event planning from concept to completion.

Flexibility and willingness to work evenings and weekends as needed for events.
