Administrative Assistant – OAR Foundation (Part Time Volunteer)
Job Description:
The Administrative Assistant at the OAR Foundation will provide essential support to the foundation’s daily operations by handling a variety of administrative tasks. This role involves managing schedules, handling communications, assisting with office logistics, and providing general support to staff and leadership. The Administrative Assistant will help ensure the smooth operation of the foundation’s programs and initiatives, allowing the team to focus on advancing OAR’s mission of supporting veterans and advocating for moral injury recovery.
Key Responsibilities:

Provide administrative support to staff and leadership, including managing calendars, scheduling meetings, and coordinating events.

Answer and direct incoming phone calls, emails, and inquiries, ensuring clear communication within and outside the organization.

Organize and maintain office files, records, and documentation in both digital and physical formats.

Assist with preparation of reports, presentations, and correspondence for staff, donors, and partners.

Coordinate travel arrangements, including flights, accommodations, and itineraries for staff and volunteers.

Support the recruitment and onboarding process for new staff and volunteers.

Help manage office supplies and maintain inventory, ensuring that all necessary materials are available.

Organize and assist with events, meetings, and conferences, including logistics, registrations, and communications.

Support the fundraising and donor communication efforts, including tracking donations and preparing thank-you letters.

Assist with social media content creation, updating the website, or creating promotional materials as needed.

Perform general office duties to ensure smooth day-to-day operations of the foundation.
Requirements

Proven experience as an administrative assistant, office coordinator, or similar role (at least 2 years).

Strong organizational and multitasking skills, with the ability to manage a variety of tasks and deadlines.

Excellent communication skills, both verbal and written, with attention to detail.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and general office software.

Ability to manage sensitive information with discretion and confidentiality.

Strong problem-solving abilities and the ability to work independently or as part of a team.

A proactive, positive attitude with a strong willingness to help.

Interest in veteran advocacy, moral injury recovery, and humanitarian initiatives (preferred).

Ability to adapt to a fast-paced environment, with a flexible and solution-oriented mindset.
